Workday Student 101



Welcome to Workday Student 101, your guide to the new system you will use throughout your academic journey for events like course planning, registration, adding or dropping courses, applying to graduate, and more. As a Faculty of Arts Student, you have access to technical and training support from within our Faculty. Our staff and faculty members have been working hard to prepare to support you, and details about what kind of help is available to you are outlined below.


What do I need to know about Workday Student?

UBC is replacing the Student Information System (SIS) with a new cloud-based software called Workday Student. Students gain access to the new system on May 21, 2024, and will use it for all academic activities related to the 2024 Winter session.


Why is UBC changing systems?

UBC decided to change and upgrade these systems to give you a better experience as you navigate your time at UBC. The new Workday system offers better security for your data, options for how you access your information, and efficiencies for how the staff and faculty that support you do their work. While there may be bumps as we change from one system to another, we are confident that in the end your academic experience will be improved by this change.


What will I need to do in Workday?

You will get information about your access and the actions you need to take in Workday ahead of May 21, 2024 from Enrolment Services. Some of these first actions will be checking your personal and contact information, setting up your third-party authorization, adding your emergency contacts, and adding your direct deposit information. You will be able to see your academic record in Workday and look at courses for the registration window starting in June for courses in the 2024 Winter session.​


Where do I get support for Workday Student?

Good news! We have launched a new unit called the Arts Service Centre – Student (ASC Student) that is here to help you with Workday Student. You can send us an email at asc.student@ubc.ca or fill in the contact form linked here to request support. Either way, you’ll receive a support ticket that you can track and follow to see updates about the solution to your issue.

The ASC Student team is working closely with units across the university to make sure you get the quickest support when you need it. Depending on your issue, you might also need to request support from the following units:

  • Enrolment Services – You can connect with Enrolment Service Advisors for support on navigating registration, tuition and fees, and financial aid and wellness.
  • Arts Academic Advising – You can connect with Arts Academic Advisors for questions related to course planning or program requirements.
  • Graduate Program Offices – If you are a graduate student, you can connect with your Graduate Program Offices for program advising.
